Table of contents
If you run a small business and want one AI tool to start with, get a proper business-grade chat assistant. We'd pick ChatGPT Business at $20 per user per month billed annually, mainly because your data stays out of model training by default and it handles the widest range of everyday jobs: emails, quotes, policies, job ads, spreadsheet analysis, and first drafts of just about anything.
After that, add tools by job, not by hype. A website chatbot (Tidio) if customers ask the same ten questions all day. An automation tool (Zapier) if you copy data between apps. Canva and Buffer for marketing. QuickBooks for books, which you may already pay for. Semrush only if search traffic genuinely brings you customers. And an AI phone agent only if missed calls cost you money.
Our quick picks for September 2026:
- Best overall assistant: ChatGPT Business
- Best customer support chatbot: Tidio (Lyro AI agent)
- Best automation tool: Zapier
- Best for marketing visuals: Canva
- Best for social scheduling: Buffer
- Best for bookkeeping: QuickBooks Online
- Best for SEO: Semrush (if SEO matters to you)
Every section below links to a deeper guide for that job. This page is the map.

Our pick
ChatGPT Business
4.6Best for: The everyday assistant for writing, research, analysis and planning ยท $20/user/mo billed annually, $25 monthly; 2-seat minimum
ChatGPT Business is the tool we'd buy first. It covers more small-business tasks than anything else here, costs the same as a personal Plus plan when billed annually, and gives you admin controls plus a no-training default for your business data.
Then build around it: Tidio for customer chat, Zapier to glue your apps together, Canva and Buffer for marketing, and QuickBooks for the books. Skip anything that doesn't solve a problem you have this month.
How many small businesses actually use AI?
Fewer than the hype suggests, and it depends a lot on how you ask.
The Census Bureau's Business Trends and Outlook Survey is the most conservative measure. Its May 2026 analysis found that about 17% to 20% of US businesses reported currently using AI between December 2025 and May 2026. Firms with 250 or more employees were at 37%. Firms with fewer than 20 employees stayed below 20%, with no significant change over that period. Retail sat at 14%.
The U.S. Chamber of Commerce paints a much busier picture. Its 2025 Empowering Small Business report, based on a June 2025 survey of 3,870 businesses with fewer than 250 employees, found that 58% said they use generative AI, up from 40% in 2024 and 23% in 2023.
Both can be true. The Census survey asks firms whether they currently use AI in running the business, and it reaches a broad sample of firms of every size. The Chamber survey counts anyone who uses a generative AI tool at all, including a chatbot to draft an email. The practical takeaway: most small firms are dabbling, few have AI built into how the business actually runs. That's the gap the tools below fill.

A note on that "one-person business" row: ChatGPT Business requires two seats, so a true solo owner is better off on ChatGPT Plus. Semrush works fine for one person, but its price is hard to justify for most solo businesses.
General assistant: ChatGPT Business
ChatGPT Business Our pick
4.6- Pricing
- $20/user/mo billed annually, $25 monthly; 2-seat minimum
- Best for
- The everyday assistant for writing, research, analysis and planning
The assistant most small teams should standardize on. Standard seats cost $20 per user per month billed annually or $25 monthly, with a two-seat minimum. Heavy users can get Premium seats at $100 annually or $125 monthly.
Why this one over Claude Team or Gemini in Google Workspace? Honestly, it's close. Claude Team is reported at the same $20/$25 per seat, and Claude is often the stronger writer. Gemini is bundled into Google Workspace, where Business Standard is about $14 per user per month on annual billing, so if your team already lives in Gmail and Docs, you may already be paying for a decent assistant.
We land on ChatGPT Business because it's the most general-purpose of the three: strong at writing, data analysis on uploaded spreadsheets, image generation, voice and web research, plus custom GPTs your team can share for repeat jobs. For a business that needs one tool to do many small jobs, that breadth wins. Our ChatGPT vs Claude vs Gemini comparison goes deeper if you want to choose for yourself.
The business plan matters for one big reason: OpenAI doesn't train on Business workspace data by default. If staff are pasting customer emails or pricing into a personal free account, fixing that is worth the $40 a month on its own.
Good first uses: reply templates for common customer emails, job descriptions, turning a messy price list into a clean quote template, and summarizing supplier contracts before you call a lawyer (not instead of). Our prompting guide will get you better results faster.
Customer support chatbot: Tidio
Tidio
4.2- Pricing
- Free; Starter from $24.17/mo billed annually; Lyro AI from $32.50/mo
- Best for
- Website live chat with an AI agent that answers common questions
Live chat, email and social inbox for small online businesses, with an AI agent called Lyro that answers questions from your own FAQ and help content.
Tidio's appeal for small businesses is that you can start free. According to its pricing page, the Free plan includes 50 billable conversations and a one-time allowance of 50 Lyro AI conversations. Starter is $24.17 a month on annual billing, and Lyro is priced separately, starting at $32.50 a month for 50 AI conversations. That separate AI billing is the catch: the base plan and the AI agent are two line items, and costs climb with volume.
If you already use Intercom, its Fin agent is the more powerful option, but pricing is per resolution (widely reported at $0.99 each) on top of per-seat Intercom plans. That's usually more than a small shop needs.
Before you switch any bot on, read the risks section below. Customer-facing AI is where mistakes cost you real money and goodwill. We compare Tidio, Intercom and others in our guide to AI chatbots for customer support, and if your customers message you on WhatsApp, see how to build a WhatsApp AI chatbot for your business.
Automation: Zapier
Zapier
4.3- Pricing
- Free (100 tasks/mo); Pro from $19.99/mo billed annually
- Best for
- Connecting your apps and automating repetitive admin
The easiest way for non-technical owners to connect apps: new form entry goes to the CRM, new invoice goes to a spreadsheet, new review triggers a drafted reply.
Zapier's pricing starts with a Free plan of 100 tasks a month, which includes basic access to its AI Agents and Chatbots. Pro starts at $19.99 a month billed annually ($29.99 monthly) for 750 tasks, and 2,000 tasks costs $49 a month on annual billing. A task is one completed action step, and a single automation run often uses several, so estimate generously.
Where AI comes in: an "AI by Zapier" step can summarize an inquiry, classify it as sales, support or spam, and draft a reply before it lands in your inbox. Zapier's Copilot also lets you describe an automation in plain English and have it built for you.
Zapier isn't the only option. If you're comfortable with a bit more setup and want lower running costs, n8n can be self-hosted. See our Zapier vs Make vs n8n comparison and the beginner walkthrough on automating your business with n8n and AI.
Marketing visuals: Canva
Canva
4.3- Pricing
- Free; Pro about $180/yr; Business per person
- Best for
- Social graphics, flyers and on-brand marketing visuals
Templates for every social size, flyers, menus and short videos, plus AI features for generating images, resizing designs and writing copy.
Canva's free plan is genuinely usable for a small business. Canva Pro is reported at $18 a month or $180 a year for one person as of September 2026, and it adds the brand kit, background remover and bigger AI allowances. Canva Business is priced per person with no seat minimum. Check the current rate on Canva's pricing page, because it has changed several times.
Most small businesses don't need more design firepower than this. Our Canva AI review covers whether the Magic features are worth paying for.
Social scheduling: Buffer
Buffer
4.5- Pricing
- Free (3 channels); Essentials $5 per channel/mo
- Best for
- Scheduling social posts with a built-in AI writing assistant
A simple social scheduler with an AI Assistant for drafting and repurposing posts, available on every plan including Free.
Buffer's pricing is refreshingly small-business friendly. Free covers up to three channels with 10 scheduled posts per channel. Essentials is $5 per channel per month, and Team is $10 per channel. You pay only for the channels you actually manage, so a business on Instagram, Facebook and LinkedIn pays $15 a month on Essentials.
It doesn't have the listening and reporting depth of bigger suites, but most local businesses don't need that. For more options, read our roundup of AI tools for social media management. If you also run paid ads, our guide to writing ad copy with AI pairs well with it.
Bookkeeping: QuickBooks Online
QuickBooks Online
4.5- Pricing
- Free tier; Simple Start $38/mo; Plus $140/mo
- Best for
- Bookkeeping with AI categorization, invoicing help and insights
The default small-business accounting package in the US, now with Intuit's AI built into categorization, reconciliation, invoicing and reporting.
According to its pricing page in September 2026, QuickBooks Online has a Free plan (basic income and expense tracking, two invoices a month, one bank connection), Simple Start at $38 a month, Essentials at $85, Plus at $140 and Advanced at $340. New customers are often offered 50% off for three months. Intuit's AI features scale with the plan: Simple Start gets AI expense categorization and an AI chat in beta, while Plus adds anomaly detection, auto-categorization and profit-and-loss insights.
The honest take: QuickBooks isn't something you add for AI. If you already use it, turn the AI features on and let them draft categorizations for you or your bookkeeper to review. If you're choosing accounting software from scratch, compare options first in our guide to AI tools for bookkeeping and invoices.
SEO and content: Semrush
Semrush
4.0- Pricing
- Limited free plan; SEO plan from $117.33/mo billed annually
- Best for
- Businesses where search traffic is a real sales channel
The heavyweight SEO suite: keyword research, rank tracking, site audits and, increasingly, tracking how your brand shows up in AI search answers.
Semrush is here with a warning label. Its SEO plan starts at $117.33 a month billed annually, and bundles with AI visibility tracking cost more. There's a limited free plan with one project. For a bakery or a plumber, that's too much. Google Search Console (free) plus ChatGPT for drafting pages will take you a long way.
Semrush earns its price when organic search is a meaningful sales channel, such as an online store, a service business competing in a busy city, or a company publishing content every week. We cover cheaper options in AI tools for SEO and content planning. If you sell online, also see AI tools for ecommerce and Shopify stores.
Voice and phone: worth it only if calls slip through
AI receptionists answer calls, book appointments and take messages around the clock. For trades, clinics and salons that lose jobs to voicemail, they can pay for themselves. Third-party roundups list entry plans for small-business tools like Rosie, Goodcall and Smith.ai starting roughly between $49 and $95 a month, with usage limits that vary a lot.
We didn't give voice a slot in the core seven because many businesses don't need it. If you do, start with our guide to building an AI voice agent for your business, and always give callers an easy way to reach a human.
Where to start: a plan for every budget
Prices below are as of September 2026 and use annual billing where it's cheaper. Your accounting software is left out, since you probably pay for it already.
$0 a month
- Assistant: free ChatGPT or Gemini, with a firm rule that no customer data or financial details go into it.
- Marketing: Canva Free plus Buffer Free for up to three channels.
- Automation: Zapier Free for one or two simple automations, like sending web form leads to a spreadsheet.
- Support: Tidio Free, with Lyro trained on your FAQ, to see how many questions it can actually handle.
- Books: QuickBooks Free if you only send a couple of invoices a month.
About $50 a month
- ChatGPT Plus for the owner: $20.
- Canva Pro: about $15 a month on the annual plan.
- Buffer Essentials for three channels: $15.
- Keep Zapier and Tidio on their free plans until you hit the limits.
That's about $50, and it covers the jobs where most owners lose the most hours: writing, marketing and posting.
About $200 a month
- ChatGPT Business, two seats: $40.
- Tidio Starter plus Lyro from 50 AI conversations: about $57.
- Zapier Pro at 2,000 tasks: $49.
- Canva Pro: about $15.
- Buffer Essentials, three channels: $15.
That's roughly $176, leaving room for more Lyro conversations or an extra seat. Add an AI receptionist or Semrush only when you have a clear reason. Freelancers and solo operators should check our AI tools for freelancers list instead, since several team-priced tools here are overkill for one person.
The risks: privacy, accuracy, trust and liability
Data privacy. Free consumer chatbots may use your conversations to improve their models unless you opt out. Business plans like ChatGPT Business exclude your data from training by default. Either way, don't paste in card numbers, health information or passwords, and check what your customer-facing tools store.
Accuracy. AI tools still state wrong things confidently. That matters little in a social caption and a lot in a quote, a tax figure or a refund policy. Keep a human review step on anything involving money, law or promises to customers.
Customer trust. People mind less that a bot answers than that they can't reach a person. Tell customers when they're talking to AI, and make the handoff to a human obvious.
Legal liability. The case every owner should know is Moffatt v. Air Canada. In February 2024, a British Columbia tribunal ordered Air Canada to compensate a customer after its website chatbot gave wrong information about bereavement fares. The tribunal rejected the airline's argument that the chatbot was responsible for its own statements, holding the company responsible for everything on its website, bot included. The damages were small, but the principle is clear: what your bot says, your business said.
Frequently asked questions
What is the best AI tool for a small business?
For most small businesses, a business-grade assistant like ChatGPT Business is the best first purchase because it helps with the widest range of work. After that, the best tool is whichever one fixes your biggest time drain, whether that's customer questions, data entry or social posting.
Is ChatGPT free for business use?
You can use free ChatGPT for business tasks, but it lacks admin controls and your chats may be used for training unless you turn that off. ChatGPT Business costs $20 per user per month on annual billing, with a two-seat minimum, and excludes business data from training by default.
How much should a small business spend on AI tools?
Many small businesses can get real value for $0 to $50 a month using free tiers plus one or two paid plans. A team of a few people covering support, automation and marketing typically lands around $150 to $250 a month with the tools in this guide.
Can a small business be held responsible for what its AI chatbot says?
Yes, based on the 2024 Air Canada ruling in British Columbia, where the company was held liable for its chatbot's wrong answer. Laws vary by country and state, but you should assume customers can rely on what your bot tells them.
Do small businesses need Semrush or another paid SEO tool?
Not usually at the start. Google Search Console is free and shows what people search to find you. Paid SEO tools make sense once search is a major source of customers and you're publishing or optimizing pages regularly.
